One year in advance

Prior to the preceding conference, ensure that there is a call for participation for your conference that will be included in the registration packet.

Attend the preceding conference and observe. Now that you are planning to host a conference, you look at the process with a different set of eyes before you leave the conference, see if you can take with you the banners, extra ribbons, etc. If not, make sure you receive these in a timely fashion after the conference.

As soon as the preceding conference is complete, try to start pulling together your website. Contact the Conference Webmaster for access to the website.

Create a local distribution list in late November and December.

Send e-mail about conference and possible paper submission at the latest by the end of January. Also create a distribution list of department chairs and suggest they encourage their faculty to submit a paper and attend.

Distribute the call for participation at SIGCSE conference.

Start contacting hotels in the spring adding to the website as you have them available.

Depending on how your school handles room reservations, reserve rooms for all events with your local staff including meals, sessions, workshops, and programming contest.

Coordinate with your IT department for use of computer lab, installation of appropriate software, email stations for attendees, etc.


Deadline: 365 days before the conference.
Suggested starting date: 545 days before the conference.
